Human Resources Assistant, HR

JOB DESCRIPTION

Job Type: Part-time or Full-time / Temporary Contract
Dual Reporting To: Director, Human Resources and the Human Resources Coordinator

Objective and Position Summary:

The Human Resources (HR) Assistant Co-op will support the Human Resources team in a variety of

administrative and recruitment processes. You will facilitate daily HR functions and assist the HR team in the attainment of specific goals and results for the HR department and the organization. The successful candidate will be highly organized and detail-oriented with the ability to successfully manage multiple tasks at once.

Primary Responsibilities:

  • Maintain job postings on external job boards (Indeed, Goodwork, etc.)
  • Pre-screen candidate resumes
  • Schedule interviews, meetings, and HR events
  • Assist with internal event organization and coordination
  • Maintain and update employee records in both paper and digital format
  • Advise employees on the application and interpretation of HR policies and procedures
  • Assist the Director, Human Resources and Human Resources Coordinator with the implementation of HR programs and initiatives
  • Respond to HR-related inquiries or requests and distribute correspondence to the appropriate person on the HR team
  • Maintain employee confidence and protect operations by keeping HR information confidential
  • Produce and submit reports on general HR activity
  • Work with the HR team to ensure all employment requirements are met
  • Support other HR and administrative functions as assigned

Required Education, Skills and Knowledge:

  • Must be in the process of completing a post-secondary diploma in Human Resources or related field and actively enrolled in a co-op program
  • At least 1 years’ experience in an administrative role; previous HR experience considered a strong asset
  • Knowledge of human resources processes and best practices
  • Strong proficiency in using MS Office (Excel, Word and PowerPoint)
  • Outstanding communication and interpersonal skills
  • Ability to handle data with utmost confidentiality
  • Excellent organizational and time management skills

Project Administrator, Gas Programs

JOB DESCRIPTION

Job Type: Full time, Contract
Reporting To:  Manager, Contracts and Vendors 

Objective:

The Project Administrator for Contracts and Vendors will track and report the progress on all projects across three programs and other administration duties as assigned.  The Project Administrator must prepare all documents as requested; and must ensure all documents are saved properly for the team to access.  This role reports to the Manager, Contracts and Vendors who is responsible for managing contractors, and overseeing HVAC installations across three energy savings programs. 

Primary Responsibilities:

  • Administer, track, maintain and report progress on all projects.
  • Create and maintain electronic and hard copy filing systems for all project files.
  • Ensure data is input into CRM on an accurate and timely basis. 
  • QA all paperwork coming in from contractors following up with for missing information. 
  • Communicate progress, timelines, milestones and other key project metrics to team members.
  • Creating work orders, and PO’s for project coordinators, ensuring all paperwork is in order.
  • Process, check and compile invoicing requests from external contractors. 
  • Provide other administrative support and duties as assigned.

Minimum Qualifications:

  • At least 1 year of experience in an Administrative role.
  • Minimum High School diploma required.
  • Ability to manage multiple competing priorities and tight deadlines.
  • Excellent written and oral communication skills.
  • Strong organizational and interpersonal skills.

Energy Assessment Coordinator, Energy Assessments

JOB DESCRIPTION

Job Status: Full-Time, Permanent

Reporting To:  Manager, Service Coordination

Objectives:

Energy Assessment Coordinator (EAC) team members work together to coordinate and schedule all residential energy assessments for Greensaver residential programs. EACs provide superior customer service and ensure that assessments are scheduled in an efficient and timely manner. EACs are the primary contact for assessment inquiries, service issues or conflicts, and are responsible for handling rescheduled, unique, and conflicting appointments. In some cases, EAC’s act as a liaison between Customers and Energy Advisors to ensure appropriate work is completed and to maintain high customer satisfaction.


Primary Responsibilities:

  • Schedule and coordinate all aspects of energy assessments for Greensaver residential programs 
  • Organize and monitor all internal and external Energy Advisors’ schedules to ensure program coverage, route optimization, and optimal utilization of advisor capacity
  • Scheduled Cx Energy Assessments in database, provide essential program/home visit information to Cx’s and subsequent Cx details to Energy Advisors
  • Communicate and resolve scheduling issues/cancellations/delays with Cx’s and Energy Advisors
  • Manage large inbound/outbound call volume and provide timely, thorough responses to all calls, email inquiries and voicemail messages
  • Utilize call scripts and booking procedures to provide customers with clear information, and to ensure all customer data is accurately entered into appropriate Greensaver databases
  • Deliver superior Customer Service, resolving customer complaints or escalating challenges to Team Lead or Supervisor as required
  • Provide feedback on customer trends and challenges, documenting issues for ongoing/improved training and program development
  • Maintain day-to-day relationships with designated Energy Advisors and provide feedback to the Energy Evaluation Team as required
  • Other duties as assigned from time to time as required by the Manager, Service Coordination

Minimum Required Skills and Qualifications:

  • 2-3 years Customer Service experience
  • Demonstrable experience in managing/organizing multiple tasks and priorities
  • Exceptional customer service skills, and a helpful attitude
  • Self-motivated with strong time management skills and ability to meet tight deadlines
  • Experience working with CRM/database software. Phone software, Microsoft Suite, Scheduling software are strong assets.
  • Demonstrable ability to work collaboratively with team members (internal/external) in a demanding environment
  • Logical problem-solver with strong attention to detail, able to perform effectively under pressure in a fast -paced environment
  • Completed high school education (minimum); Post-secondary education focused in Construction/Building Sciences/Project Management is considered an asset
  • Excellent written and oral communication skills
  • Strong organizational and interpersonal skills with the ability to develop and maintain positive working relationships
  • Able to work in a team environment and independently as well

Further Requirements and Qualifications:

  • Willingness to work occasional evenings and Sundays, from home
