Sales Administrator, Conservation Programs


Job Status:  Full time / Permanent
Reporting To:  Sales Manager, Conservation Programs

Position Overview: 

We are looking for a qualified Sales Administrator to join our team and help us drive significant positive change in the areas we cover. You will serve as a point of contact for client-side representatives with queries about products, orders and deliveries and provide support for sales representatives.

Our ideal candidate is goal-oriented, has a deep knowledge of customer service best practices and isn’t intimidated to pick-up the phone to get answers or pitch ideas.  Additionally, we’re seeking someone with killer Excel skills. (Pivot tables and lookups are old news to you) If you have exceptional organizational skills and draw energy from being part of a team that truly helps make the world a better place, we would like to meet you.

Ultimately, you should be able to contribute to high-quality customer service and assist the team in delivering in its volume goals.

Primary Responsibilities:

  • Process orders received via multiple channels
  • Check data accuracy in orders and working documents
  • Contact clients to obtain missing information or answer queries
  • Liaise with multiple department to ensure timely execution of orders
  • Maintain and update sales and customer records
  • Develop monthly sales reports
  • Communicate important feedback from customers internally
  • Ensure sales targets are met and report any deviations
  • Stay up to date with new products and features
  • Develop new ideas and strategies to drive applications and referrals

Required Education, Skills and Knowledge:

    • Proven work experience as a Sales Administrator, Sales Support Agent, or related position
    • Hands-on experience with CRM software and MS Office (MS Excel in particular)
    • Understanding of sales performance metrics

    • A team player with high level of dedication
    • Ability to work under strict deadlines
    • Certification in Marketing, Sales or a relevant field is a plus

Account Representative, Conservation Programs


Status:  Full time / Permanent
Reporting To:  Sales Manager, Conservation Programs

Objective and Position Summary:  You will be the liaison between Greensaver and its growing program-participant and stakeholder base, deploying the very best in outreach, lead generation, relationship building and prospecting. You will have the opportunity to make an impact. This role is sales-heavy; you should be just as comfortable calling on a cold prospect as you are with strategizing the best community engagements. This is a cross-functional role that often requires liaising between internal teams, working closely with internal and external stakeholders, and reaching out and engaging prospects. You are primarily responsible for generating leads and driving program participation, as well as deepening community awareness of our program suite within our growing stakeholder base. Creativity, drive, and an appetite for are a must; you should have big ideas about what an ideal engagement and prospecting plan looks lik, with the strategies to make it happen. 

Primary Responsibilities

  • Identify and target prospects, generate applications for Greensaver’s Residential conservation programs.
  • Daily outbound sales activities to prospects/customers for renewal and new business; including reaching out through cold calls.
  • Regular follow up and maintenance of existing applications in progress.
  • Log daily activity and opportunities into CRM database following contract submission processes to ensure accurate reporting.
  • Achieve monthly/quarterly/annual program application targets. 
  • Must follow-up promptly on any inbound inquiries from Greensaver’s website, internal staff or external stakeholders. 
  • Handle special projects and strategic sales initiatives as directed by the Sales Manager, Conservation Programs.
  • Prepare monthly forecast to Sales Management related to independent generated pipeline.
  • Liaise with other departments for input re: regular reporting, application processing, as required
  • Other duties and responsibilities as required and assigned by the Sales Manager, Conservation Programs

Required Education, Skills and Knowledge

  • University Degree and/or College Diploma, or equivalent work (sales) experience
  • 2 to 5 years of proven work experience as a sales representative, including extensive experience with cold calling and generating new leads
  • Excellent knowledge of MS Office
  • Strong communication, negotiation, time management and organizational skills
  • Strong familiarity with Customer Relationship Management (CRM) software practices along with the ability to build productive business professional relationships
  • Highly motivated and target-driven
  • Ability to aid in the creation of presentations tailored to audience needs
  • Relationship management skills and openness to feedback
    • Energetic, self-motivated, driven to succeed, positive, fast learning, quick thinking 
    • Strong understanding of customer and market dynamics and requirements (familiarity with property management a plus)
    • Multi-tasker and ability to work in a fast-paced and fluid environment
    • Detail-oriented and a problem-solving, Solutions Wizard 
    • Advanced spreadsheet skills (Microsoft Excel and Google Sheets), including formulas, pivot tables and reporting, and formatting to present analysis is an absolute must-have
    • Bilingualism (English and French) is a huge asset (but not required)

Project Coordinator, Technology and Innovation


Job Status: Full-time, Temporary, Contract

Reporting to: Director IT with day to day direction from Head of Project Management office

Objective and Position Summary As Project Coordinator of the Project Management Office, you will be afforded an opportunity to help shape the future of the systems and infrastructure used to support our business. Responsible for the coordination, implementation, execution, control and completion of specific projects as set out by the Head of the Project Management Office and Senior Management ensuring consistency with company strategy, commitments and goals.

Primary Responsibilities:

  •  Support the planning and implementation of projects assigned by Head of Project Management Office or by senior management
  • Assist in assessing feasibility of potential projects/opportunities for Greensaver 
  • Help facilitating the definition of project scope, goals and deliverables
  • Research and document current processes interview key users and otherwise assess gaps between current work process and project goals.
  • Define assigned project tasks and resource requirements.
  • Develop full scale project plans
  • Plan and schedule project timelines
  • Track project deliverables using appropriate tools
  • Constantly monitor and report on progress of the project to all stakeholders
  • Implement and manage project changes and interventions to achieve project outputs
  • Assist in the implementation of new projects, including testing, documentation and training on new software and tools as needed.
  • Prepare project evaluations and assessment of results.
  • Assist other Project Coordinators or Head of Project Management Office with research, administrative or other duties on larger projects

Minimum Requirements:

  • Qualification in project management or equivalent experience

Vendor & Client Strategy Analyst, Extended Measures


Job Status: Full Time / Permanent

Reporting to:  Manager, Extended Measures

The Extended Measures (EM) analyst will be responsible for executing key deliverables to ensure qualified customers receive their extended measures (appliances). Replacing inefficient appliances helps to increase energy efficiency in the home and reduce greenhouse gas emissions.  The EM analyst will work closely with EM team members and other departments and delivery agents/vendors to ensure program timelines and targets are being delivered.  

Primary Responsibilities:

Client Management

  • Respond to and complete incoming and outgoing customer calls with regards to Extended Measure completion for IESO HAP and AFT programs
  • Monitor and comply with call center standards 
  • Administrate, maintain and update telephone software (Telax) and hardware with assistance of Program Leads and IT
  • Assist the team by performing calls and administrative tasks
  • Ensure all communications are completed in accordance with Greensaver’s Customer Service Mandate
  • Manage the client relationship in a professional and positive manner; gain understanding of client conservation goals, objectives, and requirements tailoring services and communications to meet expectations

Partner Relationship Management

  • Maintain clear, concise and positive relationships with delivery agents, specifically for ARCA Canada and Canadian Appliance Recycling Enterprises
  • Follow-up with all delivery agent requests within 24 business hours
  • Ensure all communications are completed in accordance with Greensaver’s Customer Service Mandate
  • Meet all delivery issues with resolution, escalated to Supervisor, Quality Assurance, if needed
  • Manage the client relationship in a professional and positive manner; gain understanding of client conservation goals, objectives, and requirements tailoring services and communications to meet expectations

Data Management

  • Meet daily file processing quota consistently 
  • Meet all quality and accuracy standards as written within training documents
  • Follow all schedule and Utility requirements as outlined within the training documents 
  • General data management, as requested and required


  • Complete all written customer communications in a timely manner, including approval and rejection letters for residential CDM portfolio
  • Completion of all high-level documentation pulls for large utility Quality Assurance check
  • Communicate with different group and customers with regards to file issues and resolutions 
  • Assist in invoice reviews and physical file submissions from contactors Pre-invoicing check

Project Coordinator, Retrofit


Full time / Permanent
Reporting To: Operations Manager, Retrofit and/or to Supervisor, Retrofit


The Project Coordinator, Retrofit organizes, schedules, coordinates all aspects of retrofit and spray foam project activities internally and externally.  This role reports to the Operations Manager, Retrofit and /or the Supervisor, Retrofit who is responsible for the overall performance of the private projects process. 

Primary Responsibilities

  • Organize, schedule, and coordinate all aspects of field activities with internal and external clients, contractors, suppliers and other service providers; includes all private projects, and other field services.
  • Communicate with clients regarding scheduling issues or conflicts as escalated by the Admin Team, and provide resolution when possible.
  • Confirm identified discrepancies in scope of work with Sales Team as required and adjust files as necessary
  • Assists in developing and monitoring: business cases, project charters and plans, monitoring adherence to project schedules, tracking progress and time efficiencies.
  • Manage engagement risk by reaffirming client expectations, managing scope, and taking early action to resolve problems.
  • Assist with the tracking of Health and Safety documentation for the crews.
  • Ensure vehicle maintenance is coordinated and followed through, keep track of records for each vehicle.
  • Other duties as assigned.

Minimum Qualifications

  • 2 years’ work experience in the scheduling and organization of construction projects or similar field services in residential and commercial applications.
  • 2 years’ work experience in performing administrative duties relating to construction projects or similar field services including the creation and processing of purchase orders, invoices, quality assurance documents, and project costing reports and others.
  • Demonstrable experience in managing multiple tasks and priorities.
  • Demonstrable experience in providing high level customer service. 
  • Completed high school education (minimum); Post-secondary education focused in Construction / Project Management is considered an asset
  • Excellent written and oral communication skills.
  • Strong organizational and interpersonal skills.
  • Perform effectively under pressure and thrives on challenges and solution oriented.

Insulation Installer, Retrofit


 Job Type: Full-time / Permanent: 35 to 40 hours per week

Reporting To:  Operations Manager, Retrofit

Primary Responsibilities:

  • Commercial projects, including but not limited to the following:
    • Air barrier systems and transition membranes
    • Interior or exterior insulation installation
  • Residential insulation, including but not limited to the following:
    • Attic insulation
    • Flat roof insulation
    • Slope insulation
    • Basement insulation
    • Wall insulation with cellulose and foam
    • Exterior wall air barrier and insulation systems
    • Air sealing, including weather-stripping on doors
  • Measure and cut insulating materials and coverings to the required shape and dimension
  • Remove insulation and debris from homes
  • Complete job preparation as required
  • Other duties as requested and assigned by the Operations Manager, Retrofit or Retrofit Supervisor

Physical Activity Description:

Physical activities include, but are not limited to:

  • Physical requirements: Manual dexterity, standing for extended periods; bending, crouching, kneeling, standing with weight
  • Climbing up and down stairs in houses and on trucks and crawling into crawl spaces
  • Pulling, pushing and torso twisting movements to transfer materials from truck
  • Occasionally lifting and carrying of insulation with weight up to 50 pounds

Program Analyst, Gas Utilities


Full time / Permanent
Reporting To:  Manager, Gas Utilities Programs

Objective:  The Gas Utilities Program Analyst operates within the Program Management team to support delivery of our Home Weatherization Program conservation programs. With a focus on internal program support and program logistics, this role requires a high level of attention to detail, and initiative to continuously improve program administration, tracking and reporting. Reporting to the Manager of Gas Utilities Programs, this role has potential to evolve into a future coordinator role on the team.

Primary Responsibilities

  • Communicate progress, timelines, milestones and other key project metrics to team members.
  • Support weekly/biweekly report and progress meetings with clients
  • To resolve and/or escalate client and project issues in a timely fashion
  • Provide reliable and accurate admin support for monthly invoicing procedures
  • Assist with the data measurement, tracking and forecasting of program metrics
  • Provide data analysis and project support
  • Input, maintain, and continuously improve program database
  • Provide other administrative support as assigned.

Minimum Required Qualifications

  • Post-secondary education or equivalent work experience in a discipline pertinent to the job function
  • Experience preparing reports and handling large amounts of data, with strong attention to detail
  • Ability to communicate effectively, both orally and in writing, to a wide variety of audiences
